How to Manage Staff and Shifts with Your POS System

Use your POS system to manage employee access, track sales by staff member, enforce permissions, and simplify shift handovers. A guide to staff management in retail and restaurant POS.

Your POS system sees every transaction your staff processes. Used well, this data transforms how you manage performance, accountability, and shift operations. Used poorly (or not at all), the same system creates gaps where fraud and errors go undetected.

This guide covers the complete employee management workflow for a retail or restaurant POS: setting up roles and permissions, tracking performance by staff member, managing shift handovers, and using access controls to protect your business.


Why Staff Management in Your POS Matters

Accountability through attribution

When every transaction is linked to the staff member who processed it, accountability is automatic. If cash discrepancies occur, you can pinpoint exactly which transactions were processed by which person during which shift.

Performance measurement

“Who are my best sales people?” is an impossible question without per-staff transaction data. POS sales attribution lets you identify top performers, support struggling team members, and reward based on objective data.

Access control prevents both fraud and errors

A cashier who can’t issue refunds can’t use a refund to steal cash. A cashier who can’t see payroll data can’t compare their wages to colleagues. Role-based access isn’t just security — it simplifies the interface for staff by hiding irrelevant functionality.

Shift handover efficiency

When one cashier’s shift ends and another begins, a POS with per-session tracking makes handover a 2-minute process: close the session, count the cash, record the handover.


Setting Up User Roles and Permissions

The five standard roles in ZyntaPOS

ZyntaPOS implements role-based access control (RBAC) with five roles, each with progressively more access:

Cashier The standard checkout role. Cashiers can:

  • Process sales (add items, apply discounts up to a defined limit, process payment)
  • Issue receipts
  • Perform basic product lookups
  • Open their own register session

Cashiers cannot:

  • Process cash refunds without manager PIN
  • Perform stock adjustments
  • View financial reports
  • Access other staff members’ data
  • Change product prices

Customer Service Extended from Cashier with customer management access:

  • All Cashier capabilities
  • View and update customer profiles
  • Process exchanges
  • Issue store credit

Manager Operational management access:

  • All Customer Service capabilities
  • Process cash refunds (no additional PIN required)
  • Perform stock adjustments and receive deliveries
  • View daily reports and session summaries
  • Manage product prices
  • Open/close register for any staff member

Reporter Read-only management access:

  • View all reports (sales, inventory, staff, customers)
  • Export data to CSV
  • Cannot process transactions or modify data

Admin (Owner) Full system access:

  • All Manager capabilities
  • System settings configuration
  • Staff account management
  • Security policy settings
  • Full audit log access
  • Database backup and restore

Creating staff accounts

  1. Admin account → Settings → Staff → Add Employee
  2. Enter staff name, role, and PIN (4–6 digits)
  3. Optionally assign to specific locations (Enterprise plan)
  4. Staff member can now log in at any terminal using their PIN

PIN best practices:

  • Each staff member has a unique PIN — no sharing
  • PINs should not be birthdays, sequential numbers (1234), or repeated digits (1111)
  • Change PINs quarterly or when a staff member leaves
  • Require manager PIN re-entry after a period of inactivity

Staff Performance Tracking

Sales attribution

Every transaction in ZyntaPOS is linked to the staff member who processed it. The Staff Performance Report shows, per employee per period:

  • Number of transactions
  • Total sales revenue
  • Average transaction value
  • Units sold
  • Discounts applied (total value)
  • Refunds processed

Using performance data constructively

Identify training needs: A cashier with a low average transaction value may not be suggesting add-ons or informing customers of promotions. Low transaction counts during busy periods may indicate speed issues.

Recognise top performers: Sales data gives you objective grounds for recognition and reward — not based on manager impression, but on actual output.

Spot anomalies: A cashier with an unusually high refund rate, or one who processes many “no-sale” drawer opens, warrants investigation.

Discount monitoring

Discounts are a common theft vector: processing a “discount” on a transaction, then pocketing the difference. Monitor per-staff discount totals:

  • Set a maximum discount percentage for cashier role (e.g., 10%)
  • All discounts above the threshold require manager PIN
  • Review the discount log weekly for unusual patterns

Shift Management in ZyntaPOS

Opening a shift

When a staff member starts their shift:

  1. They log in with their PIN at the terminal
  2. Open Register → enter opening cash amount (or confirm the pre-counted float)
  3. Their shift session is now active — all subsequent transactions are linked to this session

Mid-shift handover (shared terminal)

If one cashier takes over from another mid-day without closing the register:

  1. First cashier: Register → Pause Session (or simply changes to a new POS user within the same session)
  2. Second cashier: logs in with their own PIN at the start of each transaction
  3. Transactions continue to be attributed to the logged-in staff member

This approach is less clean than individual sessions but works for businesses where a full register close at every handover isn’t practical.

Closing a shift

At shift end:

  1. Staff member: Register → Close Register
  2. Count the cash in the drawer
  3. Enter the actual cash total in the close dialog
  4. ZyntaPOS shows the expected amount and calculates variance
  5. If variance is within acceptable range (e.g., ±$5), close is approved
  6. If variance exceeds threshold, manager review is required before close
  7. Print the Z-report
  8. Place cash for banking, leave the standard float for the next shift

Shift summary email

ZyntaPOS can be configured to send a shift summary to the manager email at each session close, including: sales total, cash variance, number of transactions, and any flagged events (excessive discounts, refunds, no-sales).


Access Control Best Practices

No shared accounts

Never create a generic “Staff” account shared by multiple employees. Every person who uses your POS should have their own login. This is the foundational requirement for any accountability.

Principle of least privilege

Give each role access to only what they need. A cashier does not need to see supplier costs or gross margins. A manager doesn’t need to modify system security settings. Restricting access reduces both fraud risk and the chance of accidental errors.

Manager oversight on sensitive actions

Configure manager PIN requirements for:

  • Cash refunds
  • Voiding transactions
  • Applying discounts above cashier threshold
  • No-sale drawer opens (opening the drawer without a transaction)

These are the four most common vectors for retail fraud. Requiring manager authorisation for each creates a natural check.

Regular access reviews

Quarterly, review your staff accounts:

  • Remove accounts for staff who have left immediately (same day if possible)
  • Review role assignments — has anyone been given temporary admin access that should be reverted?
  • Check for inactive accounts (logins more than 30 days old with no recent activity)
  • Rotate PINs for long-serving staff

Audit log monitoring

Review the audit log monthly. Look for:

  • Unusual transaction times (sales processed after close of business)
  • Excessive refunds from any single staff member
  • Repeated no-sale events without corresponding cash transactions
  • Login attempts from unfamiliar times or multiple failed PINs

Staff Management for Restaurants

Tableside order attribution

In a restaurant context, staff management in the POS includes order ownership:

  • Each server opens and owns their tables
  • Items added to a table are attributed to that server
  • Tip tracking (if applicable) links to the server who handled the table
  • At close, each server’s revenue and covers are reported separately

Kitchen staff permissions

Kitchen display systems (KDS) can be configured as a view-only role — kitchen staff can mark orders as complete but cannot process payments or access financial data.

Manager functions during service

During a busy service period, a manager may need to:

  • Override a split table (move items between tables)
  • Void a course that was incorrectly rung in
  • Apply a management discount (comp a meal for a complaint)
  • Override a cashier’s declined discount

All of these should require manager PIN confirmation, with the override logged in the audit trail.


Integrating POS Staff Data with Payroll
