POS Cash Management: How to Open, Close, and Reconcile Your Register

A step-by-step guide to cash management with a POS system — opening and closing registers, tracking cash-ins and cash-outs, running Z-reports, and reducing cash handling errors.

Cash handling is one of the highest-risk daily operations in any retail or food service business. Without proper procedures, cash shrinkage, errors, and fraud go undetected until month-end when reconciliation reveals a problem — often too late to investigate effectively.

A POS system with proper cash management eliminates most of these risks: every cash movement is logged, every discrepancy is visible in real time, and end-of-day reconciliation takes minutes instead of hours.

This guide covers the complete cash management workflow: opening the register, managing cash movements during the day, and closing and reconciling at end of shift.


Why Cash Management Matters More Than You Think

Cash shrinkage is real

Industry research consistently shows cash shrinkage of 1–3% in retail businesses without proper procedures. On $10,000/month in cash sales, that’s $100–$300 lost every month — $1,200–$3,600/year.

Most shrinkage is preventable

The majority of cash discrepancies aren’t theft — they’re errors: incorrect change given, sales processed to wrong category, refunds handled without authorisation, or no-sale drawer opens that weren’t recorded.

When discrepancies occur, an accurate audit trail lets you identify when and how the error happened. This protects honest staff from false accusations and provides evidence if theft did occur.


The Cash Management Workflow

Phase 1: Opening the Register

At the start of every shift, open a new register session:

  1. Count the float — the starting cash in the drawer (e.g., $200 across various denominations)
  2. Record the opening amount in the POS
  3. The POS logs: opening time, opening staff member, opening cash amount

Why a consistent float matters: A consistent opening float (e.g., always $200) makes end-of-day reconciliation simple: any deviation from “opening float + cash sales - cash payouts = closing cash” is a discrepancy to investigate.

  3. Confirm → register session starts
  4. All subsequent transactions are associated with this session and staff member

Phase 2: Cash Movements During the Day

Cash-In (adding cash to the drawer)

Reasons to add cash during a shift:

  • Making change for a large denomination (customer gives $100 for a $12 sale — you need more small bills)
  • Collecting from a second register or cash bag
  • Petty cash replenishment

Cash-Out (removing cash from the drawer)

Reasons to remove cash mid-shift:

  • Banking runs (taking excess cash to the safe)
  • Petty cash disbursement (paying for a small business expense in cash)
  • Cash transfer to another register
  • Safe drops (removing cash when the drawer gets too full)

Safe drops: In high-volume retail, it’s good practice to remove excess cash (everything above the float) to a safe mid-shift. This limits theft exposure — a drawer with $200 is a much less tempting target than one with $2,000.

Petty Cash Tracking

Petty cash expenditure (buying office supplies, emergency supplies, etc.) should go through the Cash Out workflow with a “Petty Cash” reason code. This keeps all cash movements in the audit trail rather than as unexplained drawer shortfalls.


Phase 3: End-of-Shift / End-of-Day Closing

The register close is the most important cash management procedure. It reconciles what the system says should be in the drawer against what’s actually there.

Step 1: Count the drawer Before doing anything in the POS, manually count the cash in the drawer by denomination:

  • Count each denomination separately
  • Record: 20× $20, 15× $10, 30× $5, 50× $1, etc.
  • Total = actual cash in drawer

Step 2: Close the register in ZyntaPOS

  1. Register → Close Register
  2. Enter the actual counted cash total
  3. ZyntaPOS shows the expected cash total (opening float + cash sales - cash outs)
  4. Variance is calculated automatically

Step 3: Review the variance

  • $0 variance: Perfect reconciliation
  • Small variance (under $2–$5): Likely a rounding error or coin miscounting — acceptable
  • Variance over $10: Investigate before closing. Review cash transactions for the session in the audit log.

Step 4: Bank the cash Remove all cash above the next shift’s float. Place in the cash bag for banking or the safe. Record the banked amount in the Cash Out workflow.

Step 5: Print the Z-report The Z-report (named for the “Z” mode on traditional cash registers) is your daily financial summary. In ZyntaPOS, it includes:

  • Card sales subtotal
  • Cash in/out transactions
  • Opening float
  • Expected closing cash
  • Actual closing cash

For high-volume cash handling, track by denomination at close:

Denomination tracking makes it obvious if a specific bill denomination is missing — suggesting either a counting error or a specific theft event.


Multi-Cashier Cash Management

If multiple staff share a register during a shift:

Option 1: Single cashier per session Each staff member opens their own register session. At their shift end, they count and close their session. The manager sees exactly how each cashier’s session reconciled.

Option 2: Shared session with cashier tracking One register session, but each staff member logs in with their own PIN. Individual sales are attributed to the right cashier, but the session stays open through the day.

Best practice: Separate sessions per cashier. If there’s a discrepancy, it’s immediately clear which session has the problem. ZyntaPOS supports multiple concurrent sessions per register if needed.


Reducing Cash Handling Errors: Practical Tips

Tip 1: Count change before handing it over Staff should count change out loud: “Your change is $7.50 — here’s $5, $2, and 50 cents.” This catches errors before the drawer closes.

Tip 2: Always enter the amount tendered Before opening the drawer, staff should enter the amount tendered in the POS and confirm the change calculation. Never rely on mental arithmetic for change.

Tip 3: Leave the customer’s note on the counter until change is given If a customer gives a $50 note, leave it on top of the drawer until change is confirmed. This prevents “I gave you $100” disputes.

Tip 4: Safe drops after every $500 in cash sales Don’t let the drawer accumulate large amounts. Regular safe drops keep the theft risk low.

Tip 5: Investigate every discrepancy immediately Don’t carry over discrepancies to the next day. Even a small variance ($5–$10) becomes hard to trace after 24 hours. Review the session audit log at the time of discovery.

Tip 6: Never allow cash refunds without manager authorisation Cash refunds are the most common vector for employee theft. In ZyntaPOS, configure cashier roles to require manager PIN approval for any cash refund.
